There are many articles out there that discuss the benefits of digital—rather than paper-based—quality management. This post seeks to communicate that in many situations, you are perhaps using an incorrect eQMS despite the decision to rely on this system in the first place.
Roughly speaking, there are two types of eQMS options available to choose from: high-cost, high-flexibility or low-cost, low-flexibility. In some cases, one eQMS vendor offers both options. How is this possible? By leveraging rigid out-of-the-box (so-called “ready-to-use”) processes.
Keep in mind that there is a catch with the “low”-cost, low-flexibility option, as businesses ultimately implement a system that adds complexity rather than simplicity and efficiency to their work. Given the many years we’ve spent implementing eQMS’ for hundreds of businesses, we can say with confidence that although many similarities exist between companies operating within the same industry (e.g., pharma, med-device, cosmetics, etc.), each company also seeks to implement its own unique requirements—which are aligned with how they work and adds an edge and competitive advantage.
By conforming to a rigid design, one essentially adopts someone else’s design. When we surveyed businesses about related matters, many admitted that due to budget constraints, they implemented a system that diverges from and fails to meet their needs and is unlikeable among their users—just for the sake of “saving” money because management isn’t willing to invest in a more appropriate system.
The primary downside of high-cost, high-flexibility solutions is the overall cost. While these are perhaps suitable for bigger organizations that are accustomed to spending more on these types of projects, what about smaller businesses that lack these financial capabilities?
